Dear Colleague:
It’s time to start planning your participation in next year’s 78th Annual Meeting in Honolulu, HI. We are excited to take our meeting out west to the beautiful and majestic island of Oahu. We hope you will join us for what is sure to be an unforgettable event!
Following is the Call for Submissions for SAA’s 78th Annual Meeting in Honolulu, Hawaii, April 3-7, 2013. As you may be aware, submissions are only accepted electronically via SAAweb. This year, SAA is pleased to launch a brand new, easy-to-use online submission system!
The new web system is designed to be simple, straight forward, and user-friendly. The system allow users to make changes to their submissions online, count and summarize participant roles in one convenient location, register for the meeting, and allow participants to update their SAA membership profile instantly. Session chairs can invite participants to their session via automated emails or simply by providing the participant with their session ID number. The new system will even auto-submit your session with all completed participants (meaning the participant has completed all required steps including the registration payment) when the deadline hits.
We have also made some exciting changes to select submissions policies, so please be sure to review the call for details. I’ve also highlighted some major changes below:
• There is no longer a separate organizer role. A session chair now serves the organizer function in a symposium. The moderator serves the organizer function of either a forum or a debate.
• You may only have the role of chair or co-chair once. You may have more than one moderator role.
• There is a new format available for organized sessions – the Debate. It is similar in structure to the forum. See Call for details.
• Research reports are no longer a separate category. The category is now a combined Contributed Paper/Research Report.
• The length of the required abstract is now doubled to 200 words.
• Guidelines for forums in terms of numbers of participants have now been specified (3 discussants and 1 moderator minimum; 8 discussants and 1 moderator maximum).
• New Q&A option: In organized symposia, a chair may include one question and answer slot per seven presenters. See Call for details.
The web-based system will be open for submissions on May 2, 2012. Once available, you will be able to access the system by visiting the SAAweb homepage (www.saa.org) and clicking the submissions link.
The submissions deadline is Thursday, September 13, 2012, 3 pm Eastern Time. There is no grace period, as all submissions are electronic. There are no late fees, as nothing may be submitted after the deadline, and changes to a submission may be made until the deadline, Thursday, September 13, 2012. The afternoon deadline is to ensure that staff are on hand to assist right up until the moment the system shuts down at 3 pm Eastern Time on Thursday, September 13, 2012 (though we expect that you will have no need for assistance with this new user-friendly system!).
A note about the Amerind Seminar program for session organizers: Co-sponsored by the SAA and the Amerind Foundation, this program will recognize an outstanding symposium at the 2013 Annual Meeting. Complete information is located in the Call for Submissions and on the Amerind web site (www.amerind.org). If you wish to have your symposium considered for this program, be certain to select the appropriate check box on your web submission form.
While the 2013 78th Annual Meeting is just over twelve months away, I know many of you will want to organize your contribution before summer arrives with its many demands. We look forward to seeing you in Honolulu next April.

P.S. As you may be aware, presenting at the annual meeting is a privilege of membership in SAA.
•Current members submitting must renew their memberships for 2013 before the close of the membership grace period, January 30, 2013.
•Nonmembers submitting must join the Society by November 15, 2012.
Should either non-members or renewing members miss their respective renewal/join deadline, the Board of Directors will reject the submission. This action will supersede any action by the Program Committee. Once rejected by the Board, the pending submission cannot be reinstated. Also, please be aware that the deadlines are firm.
