Dear Colleague:

It’s time to start planning your participation in next year’s 77th Annual Meeting in Memphis, Tennessee. We are excited to take our meeting to the home of the blues and birthplace of rock ‘n’ roll. We hope you will join us for what is sure to be an unforgettable event!

Following is the Call for Submissions for SAA’s 77th Annual Meeting in Memphis, Tennessee, April 18 –22, 2012. As you may be aware, submissions are only accepted electronically via SAAweb. Of course, you may submit via the web and print a summary sheet to mail or fax payment, if you do not want to pay via the secure web payment system.

The self-directed web system is designed to increase session control for organizers, allow users to make changes to their submissions online, count and summarize participant roles in one convenient location, and allow participants to update their SAA membership profile instantly. Session organizers can invite participants to their session via automated emails, and monitor participants’ progress throughout the submission process. The system gives organizers ultimate control of their session. Once the participants have submitted and registered for the meeting, the organizer must submit the session. The system ensures that all submissions are totally complete when submitted, because missing abstracts or registrations will block submission of the session.

The web-based system will be open for submissions on May 3, 2011. Once available, you will be able to access the system by visiting the SAAweb homepage (www.saa.org) and clicking the submissions link.

The submissions deadline is Thursday, September 15, 2011, 3 pm Eastern Time. There is no grace period, as all submissions are electronic. There are no late fees, as nothing may be submitted after the deadline, and changes to a submission may be made up until the deadline, Thursday, September 15, 2011. The afternoon deadline is to ensure that staff are on hand to assist right up until the moment the system shuts down at 3 pm Eastern Time on Thursday, September 15, 2011.

One last bit of business—if you are organizing a symposium, I urge you to consider the electronic symposium format for a different, more stimulating and interactive experience. Since papers are presented electronically in advance, the meeting time is devoted to open discussion. Details are in the Call.

A note about the Amerind Seminar program for session organizers: Co-sponsored by the SAA and the Amerind Foundation, this program will recognize an outstanding symposium at the 2012 SAA meeting. Complete information is located in the Call for Submissions and on the Amerind web site (www.amerind.org). If you wish to have your symposium considered for this program, be certain to select the appropriate check box on your web submission form.

While the 2012 77th Annual Meeting is just over twelve months away, I know many of you will want to organize your contribution before summer arrives with its many demands. We look forward to seeing you in Memphis next April.

P.S. As you may be aware, presenting at the annual meeting is a privilege of membership in SAA.
•Current members submitting must renew their memberships for 2012 before the close of the membership grace period, January 30, 2012.
•Nonmembers submitting must join the Society by November 15, 2011.

Should either non-members or renewing members miss their respective renewal/join deadline, the Board of Directors will reject the submission. This action will supercede any action by the Program Committee. Once rejected by the Board, the pending submission cannot be reinstated. Also, please be aware that the deadlines are firm.
